Drawing package ownership
Name the person responsible for the channel project drawing package. Ask that person to identify current purchasing documents and keep earlier drafts separate from attachments submitted for a supplier response.
Ask the document owner to identify the drawings authorized for the purchasing enquiry and explain any limits on their use. Separate records supplied to describe the project context from those defining requested items. If a recipient asks for another attachment, refer the request to that owner and record the document issue added to the channel enquiry package.
Drawing revision register
Create an attachment register identifying each channel drawing and revision. Ask recipients to use those references when responding so the buyer can connect an answer with the correct drawing issue.
List the attachment title, drawing identity and issue reference in a register accompanying the enquiry. Ask the buyer contact to use that register when discussing new replies. Where a file is replaced, identify the withdrawn issue explicitly and ask the supplier which parts of its earlier commercial response need revision against the updated drawing package.
Marked enquiry questions
Mark the channel questions against their drawing locations. Explain the purchasing decision behind each question and distinguish requests for component information from changes to the buyer project design.
Give each marked drawing question an enquiry reference and identify the item or location concerned. Ask the buyer to explain the decision it needs to make from the response. Keep questions about a supplier proposed component separate from requests to revise the project drawing, and direct those requests to the document owner who controls that record.
Drawing schedule connections
Link the channel drawings with the commercial item schedule. Request supplier component descriptions against those references and identify proposed arrangements that change the scope of the original inquiry.
Ask the supplier to reference the buyer item schedule when describing components shown in the drawing. Highlight proposed items without a corresponding purchasing line and ask whether they are additions or clarifications. Give the revised relationship to the buyer reviewer so changes can be assessed without losing the scope originally requested in the commercial enquiry.
Drawing information gaps
Ask the reviewer to identify missing information in the channel drawing package. Refer the questions to the document owner and revise the attachment register when updated records become available.
Ask the reviewer to describe each drawing gap and identify who should answer it. Record whether a reply clarifies an existing drawing or requires a new issue from the owner. Update the attachment register when the missing information becomes available and ask the supplier to identify any effect on its proposed component descriptions or commercial exclusions.
Drawing response handover
Preserve supplier answers beside the drawing issues they address. Ask the buyer document owner to identify superseded replies and retain the reviewed package reference with the final purchase authorization.
Collect the final drawing index, supplier responses and buyer review questions in a single enquiry handover record. Ask the document owner to identify which earlier responses no longer apply. Confirm the order requirements and delivery arrangements using the selected item schedule, and retain the drawing issues considered at authorization so subsequent project changes remain distinguishable from the purchase scope.
