Infrastructure Support Requirements

Identify the infrastructure work package before asking for support component proposals. Name the engineer responsible for its requirements and collect the drawing issues released for purchasing discussion. Use those records to distinguish the component scope requested from a supplier from project questions that remain with the owner or its appointed advisers.

Infrastructure work package

Name the infrastructure project and identify the work package involved in the support request. Distinguish items requested for quotation from references supplied only to explain project context.

Ask the infrastructure project contact to identify the limits of the work package in the drawing set. Mark interfaces with other packages and explain which items the current enquiry includes. If a supplier suggests an expanded component scope, return that suggestion to the package owner and ask whether it belongs in this purchase or needs a separate request.

Infrastructure reviewer contacts

Identify the engineer and appointed reviewers responsible for the package. Ask who answers technical questions and who can approve changes to the purchasing item schedule.

Assign questions according to the project responsibilities instead of sending every issue to the commercial contact. Ask the engineer who should evaluate component documents and identify the buyer authorized to accept scope changes. Keep those responsibilities in the correspondence register so replies about a proposed item reach the person able to assess the specific question.

Infrastructure drawing status

List the infrastructure drawings included with the enquiry and mark their issue status. Ask the document owner which revisions apply to purchasing when attachments describe different arrangements.

Ask the document owner to identify drawings that have been withdrawn or replaced. Describe the changed project area when sending a new issue rather than attaching it without explanation. Request the supplier response under the relevant work package reference, and check which earlier proposal lines remain unchanged before carrying their descriptions into the purchasing comparison.

Support purchasing identities

Assign purchasing references to the proposed infrastructure support items. Request descriptions linked to those identities and separate alternative components so changes remain visible during supplier correspondence.

Use component references that the infrastructure package team can trace back to the drawing or requested item list. Ask for clarification of broad quotation headings covering several different items. Where the supplier proposes alternatives, request separate descriptions and keep their project locations visible so the buyer reviewer can distinguish a substitution from an additional purchase.

Infrastructure verification requests

Ask the project engineer which verification documents it requires for the proposed components. Request clear applicability statements and attach unanswered technical questions to the affected purchasing references.

Ask the engineer to identify verification requests arising from the proposed components, including document applicability questions it wants answered. Request the supplier records against those named items and highlight gaps before returning the package for review. Keep the engineer response with the work package reference so a general document submission does not appear to settle every outstanding project question.

Infrastructure commercial handover

Prepare the purchasing comparison using reviewed infrastructure item descriptions and drawing revisions. Ask the project owner to resolve scope discrepancies and preserve the final exclusions with the authorization record.

Hand over the reviewed item identities, outstanding questions and quotation exclusions together to the purchasing owner. Ask who must resolve each open issue before authorization. Confirm order requirements and delivery arrangements for the selected package, and preserve the infrastructure drawing issue used in the comparison so subsequent changes can be identified against the purchase scope.
